At Hoopi, we take your privacy seriously. This policy describes how we collect, use, and protect your information when you use the Hoopi platform available at app.hoopi.ai.

1Information we collect

When you create an account, we collect your name, email address, and billing information. If you sign up through a third-party OAuth provider (Google, Slack, or Microsoft), we receive your name and email from that provider.

When you use the platform, we collect conversation logs, uploaded files, knowledge base entries, memory entries, scheduled task configurations, and usage analytics such as token consumption and API call counts.

We also collect standard web server log data including IP addresses, browser types, device identifiers, and page visits for operational and security purposes.

2How we use your information

To provide, maintain, and improve the Hoopi platform and its AI agent features.

To process your inputs through third-party AI model providers and return generated responses.

To process payments and manage your subscription and credit balance.

To connect and operate third-party integrations on your behalf when you authorize them.

To communicate with you about your account, product updates, security alerts, and support inquiries.

To analyze usage patterns and improve service quality, performance, and reliability.

To comply with legal obligations and enforce our terms.

3AI models and your data

Your conversation data, files, and knowledge base content are used solely to provide services to you. We do not use your data to train foundation AI models or those of any third-party AI provider.

When you use the platform, your prompts and relevant context are processed by third-party model providers (such as OpenAI, Anthropic, or Google) according to their respective data usage policies. These providers do not use your data for model training on API-submitted content.

4Third-party integrations and OAuth

When you connect a third-party integration through Hoopi, you authorize us to access data from that service on your behalf. We request only the permissions necessary to provide the platform's functionality and store OAuth tokens securely.

Integration data is accessed in real time when the AI agent performs actions on your behalf or when you explicitly request it. We do not bulk-download or store third-party integration data beyond what is needed for the current operation.

You may disconnect any integration at any time, which revokes our access to that service.

5How we share information

With third-party AI model providers when your inputs are processed to generate responses.

With third-party integration providers when you authorize connections and the AI agent acts on your behalf.

With third-party service providers who help us operate the platform, including cloud hosting, payment processing (Stripe), email delivery, and analytics.

If required by law, regulation, or legal process.

In connection with a merger, acquisition, or sale of assets — users will be notified before any transfer of personal data.

6Data storage and security

Your data is stored on cloud infrastructure with encryption in transit (TLS) and at rest. File uploads are stored in cloud object storage. Conversation logs and platform data are stored in managed databases.

Data is logically isolated per workspace. Role-based access controls ensure that workspace members can only access data within their authorized workspaces.

We implement industry-standard security measures including access controls, regular security assessments, and monitoring for unauthorized access.

7Data retention

We retain your account information and workspace data for as long as your account is active.

Conversation logs and agent run history are retained according to your plan's settings.

You may delete individual conversations, files, memory entries, and knowledge base documents at any time through the platform.

Upon account closure, your data will be retained for a reasonable period to allow for account recovery, then permanently deleted. You may request earlier deletion by contacting us.

8Your rights

Depending on your jurisdiction, you may have rights to access, correct, delete, or port your personal data. You may also have the right to restrict or object to certain processing activities.

You can access and update your profile information, manage your data (conversations, files, memory), and export your data through the platform settings.

To exercise any of these rights, or if you need assistance, please contact us at the email address below.

9International transfers

Your data may be processed in countries where our servers and service providers operate. We ensure appropriate safeguards are in place for any international data transfers, including standard contractual clauses where applicable.

10Children's privacy

Hoopi is not directed at children under the age of 13, and we do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child under 13, we will take steps to delete it.

11Google user data

If you connect your Google account to Hoopi via OAuth, we access only the Google API scopes you explicitly approve during the connection flow. This may include reading your Google Calendar, Google Drive files, or Gmail messages depending on the integrations you enable.

We use Google user data solely to provide and improve the Hoopi features you have connected. We do not sell Google user data, do not use it for advertising, and do not share it with third parties except as necessary to provide the service you have requested (e.g., passing a calendar event to the AI agent you are interacting with).

We do not transfer Google user data to any third party except as necessary to provide the service, comply with law, or as part of a merger or acquisition.

You may revoke Hoopi's access to your Google account at any time through your Google account security settings or by disconnecting the integration within Hoopi.

12Cookies and tracking

Hoopi uses essential cookies to maintain your session and authentication state. We do not use third-party advertising trackers. We may use privacy-respecting analytics to understand how the platform is used and to improve our service. You can control cookie preferences through your browser settings.

13Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or platform notification. Continued use of the platform after changes take effect constitutes acceptance of the revised policy.
